BINA MAIL · YOUR AGREEMENT & PRIVACY

Terms of Service

What you agree to when creating a Bina Mail account, including early access, service limits and your rights.

Version BM-2026-11-v3Published 2 November 2026

1. Your agreement with Bina Pathways

Bina Mail is provided by BINA PATHWAYS LTD, company number 16667031, at Apartment 02, 101 Silvester Street, Liverpool, L5 8AB. Contact admin@binapathways.co.uk or 07400 427281 for service questions.

These terms, the Acceptable Use Policy and any specific service arrangements explained to you govern Bina Mail. Before submitting a new registration, you must actively tick the agreement box. The linked Privacy Notice explains information use; acknowledging it is not blanket consent to unrelated processing.

You must be able to enter this agreement. If you act for an organisation, you must have authority to do so and to manage the relevant workspace. Provide accurate contact details and keep them current.

2. Account registration and your email address

You can create a Bina account using an existing email address and a separate Bina password. Verify that address using its emailed link before signing in. Connecting the existing mailbox is a further authorisation step; a Bina password does not change or replace the password or permissions held by that email provider.

Where enabled, you can instead choose an available name at binamail.co.uk without another email account. This route requires authenticator verification and privately saved recovery codes. A requested name remains subject to availability, reserved-name rules, anti-abuse checks and accepted provider activation. Existing allocated addresses remain associated with their existing accounts.

An organisation can create a workspace, invite authorised members and assign mailbox permissions. Existing website or business email can be connected through its current provider where supported. Moving an organisation’s mail hosting or creating mail at a separate organisation-owned domain requires its own ownership, provider and DNS setup; signup does not transfer a website or alter that organisation’s DNS.

Limited early access is subject to available account and mailbox capacity, verification and anti-abuse checks. A queued verification message or pending mailbox request does not guarantee completed delivery or provisioning. Keep your authenticator and recovery codes available, especially when your Bina address is your only inbox.

3. Charges and allowances

This signup does not create a paid subscription or authorise automatic billing. It does not promise permanently free or unlimited service. Any later paid offer must identify its price, allowances, billing period and cancellation arrangements before you choose to buy.

Early-access mailboxes have finite storage, attachment, recipient and sending allowances. The current mailbox allocation provides 100 MiB of application storage per mailbox. Other message and attachment controls protect capacity; contact us before relying on the service for a particular volume or business requirement.

An allowance or safety check may stop an action or leave it pending. Follow the displayed outcome. Do not repeatedly retry a send with an unknown result, because it may already have been accepted by a delivery provider.

4. Your account and organisation responsibilities

Keep passwords, authenticator keys and recovery codes private. Use your own authorised account, review signed-in devices and report suspected unauthorised access promptly. Do not share another person’s login.

Organisation owners are responsible for inviting the right people and assigning suitable roles and mailbox permissions. Remove access when it is no longer authorised. Explain relevant workplace access and monitoring arrangements to members. An organisation remains responsible for the lawfulness of the information it sends or stores.

5. Messages and content

You retain your rights in the messages and other content you provide. You authorise the handling necessary to store, route, screen, display and back up that content to provide the service and protect it. This is not permission to publish private messages or use them for unrelated advertising.

You must have the rights and authority to send or upload the material. Check recipients, attachments and important content before sending. Recipient providers and external networks affect delivery; a message being accepted for sending does not guarantee that it reaches a recipient’s inbox.

Do not use the service for unlawful messages, phishing, malware, harassment, impersonation or unsolicited bulk messaging. The full Acceptable Use Policy forms part of this agreement.

Voice notes are screened audio attachments, currently limited to 30 seconds and the displayed attachment allowance. Receiving applications decide how they play or download audio. Local reading tools select excerpts or action-related sentences. Generative AI, when separately enabled, produces working text for you to review; it does not automatically send messages or confirm facts, bookings or other records.

A connected Inbox import and the Bina copy of a folder are not a guarantee of complete Outlook or Exchange feature parity. Provider availability, organisation administrator permissions and the connection options shown in the application determine which external features are available.

6. Service operation and interruptions

We will provide the service with reasonable care and skill. Early-access features can change as they are tested and improved, and availability can be affected by maintenance, provider faults, security events or capacity. Do not assume a guaranteed uptime or response-time commitment unless separately agreed.

Where reasonably practicable, we will give notice of planned changes likely to materially affect ordinary use. We may take proportionate immediate action to contain a security incident, unlawful use or urgent provider requirement. This service is not an emergency communication channel.

7. Restrictions, closure and review

We may restrict a particular action, mailbox or account where reasonably necessary to investigate or contain a breach, protect other users, comply with a legal duty or enforce an applicable provider limit. Where lawful and practicable, we will explain the reason and how to contact us for review.

For a non-urgent issue, we will normally seek clarification or give a reasonable opportunity to address it before ending access. We will consider the seriousness, impact and whether the concern can be resolved by a narrower restriction.

You can ask to close your account through the available account controls or support. Where access is ending, we will explain available export options and any justified retention or legal hold. Suspension and a deletion-review request are different actions; neither guarantees immediate removal of every provider or backup copy.

8. Problems, complaints and your legal rights

Tell admin@binapathways.co.uk about an access or service problem, including the time and the displayed error. Never include a password or private recovery link. We will investigate and explain appropriate next steps.

Nothing in these terms excludes liability that cannot lawfully be excluded or takes away applicable statutory consumer rights. If you have paid for a separately agreed service, the applicable purchasing and cancellation terms also apply. A dispute does not prevent you using a legal remedy available to you.

9. Changes and applicable law

These terms have a published version identifier, and new registrations record the version presented. A material change to an existing agreement needs suitable notice and, where required, agreement; changing a web page does not retrospectively alter an earlier acceptance.

The agreement is governed by the law of England and Wales, subject to any mandatory consumer protections and rights to bring proceedings in the courts available where you live. A separately negotiated organisation agreement may specify additional arrangements without removing non-excludable rights.
